Set up your weekly availability so that patients and assistants know when you are available for appointments.

Weekly Calendar

Each therapist defines their own recurring weekly schedule.

Setting Up Your Availability

  1. Go to Settings > Availability (or use the shortcut on the dashboard)
  2. For each day of the week, define:
    • Start Time — when you begin seeing patients
    • End Time — when you finish seeing patients
  3. Leave a day blank to indicate that you are not available on that day
  4. Click Save

Adding Breaks

Within a workday, you can add blocks of unavailability:

  1. On the desired day, click Add Break
  2. Set the start and end time of the break (e.g., 12:00–13:00 for lunch)
  3. The system will prevent appointments from being scheduled during these breaks

Availability Exceptions

For specific situations that deviate from the standard weekly schedule:

Day Off

  1. Go to Settings > Availability
  2. Click Add Exception
  3. Select the date
  4. Mark as Unavailable
  5. Optionally, add a reason (e.g., “Holiday”, “Medical appointment”)
  6. Click Save

Extra Hours

If you want to see patients outside of your standard schedule:

  1. Click Add Exception
  2. Select the date
  3. Mark as Available
  4. Set the start and end time
  5. Click Save

Who Can Manage Availability

OwnerCan edit the availability of all therapists
TherapistCan edit only their own availability
AssistantCan only view the availability of everyone

Impact on Scheduling

  • The calendar only shows available times when creating an appointment
  • The system automatically detects conflicts and prevents double booking
  • On the Pro plan, Tera (AI assistant) checks availability when scheduling via WhatsApp
