Cancellations and Rescheduling
Manage changes to your calendar in an organized way, with status tracking and automated communication on the Pro plan.
Canceling an Appointment
- Go to Calendar and click on the appointment you want to cancel.
- Click on Cancel Appointment.
- Confirm the cancellation.
The appointment status will be changed to Canceled and will be recorded in the patient’s history.
Rescheduling an Appointment
- Go to Calendar and click on the appointment.
- Click on Reschedule.
- Select the new date and time (the system automatically checks for conflicts).
- Confirm.
Appointment Statuses
Each appointment can have one of the following statuses:
| Status | Description |
|---|---|
| Scheduled | Appointment created, awaiting confirmation |
| Confirmed | Patient confirmed attendance |
| Completed | Session held |
| Canceled | Appointment canceled |
| No-show | Patient did not show up (no-show) |
Marking as No-show
If the patient does not attend the session:
- Open the appointment.
- Change the status to No-show.
- On the Pro plan, Tera can automatically send a follow-up message via WhatsApp offering to reschedule.
Rescheduling via WhatsApp (Pro)
On the Pro plan, the therapist can trigger an automatic rescheduling via Tera:
- Open the appointment that needs to be rescheduled.
- Click on Reschedule.
- Select the reason (optional).
- Tera will send a message to the patient via WhatsApp with the available times.
- The patient chooses the new time by responding to the message.
- The appointment is automatically updated, and both parties are notified.
Automatic Reminders (Pro)
On the Pro plan, reminders are sent automatically:
- 24 hours before — reminder via WhatsApp and email
- 1 hour before — reminder via WhatsApp
Reminders help reduce no-shows and are managed automatically by Tera.
