Recording Sessions
Record details of each session with custom fields by therapy, payment status, and strict privacy.
Recording Sessions
After each appointment, record the session details to maintain a complete and organized history.
Creating a session record
- Go to Calendar and click on the completed appointment
- Click on Record Session
- Fill out the form:
Session Data
- Type of therapy — pre-filled from the appointment
- Duration — actual time of the session (pre-filled, adjustable)
- Session notes — free observations from the therapist about the appointment
Therapy-specific fields
Each type of therapy may have custom fields (stored in flexible JSONB format). For example:
- Reiki — chakras worked on, perceived sensations
- Family Constellation — theme of the constellation, observed dynamics
- Access Bars — activated bars, patient reactions
These fields are configured by the Owner when creating the type of therapy.
Payment
Record the payment status of the session:
- Amount — price charged (pre-filled from the type of therapy)
- Status — Paid, Pending, or Overdue
- Method — Cash, PIX, Card, or Other
- Click on Save
Viewing session history
From the patient profile
- Go to Patients and click on the patient
- The Sessions tab shows all sessions conducted, in chronological order
- Click on a session to see the complete details
From the calendar
Appointments that have had a session recorded are visually marked on the calendar with the status Completed.
Privacy of session notes
Session notes have a strict privacy barrier:
| Role | Access to notes |
|---|---|
| Owner | Can see all session notes |
| Therapist | Only notes from sessions with their own patients |
| Assistant | No access to session notes |
Insights with Tera (Pro)
In the Pro plan, session notes are indexed by Tera to generate insights:
- Treatment summaries over time
- Patterns observed between sessions
- Pre-session briefing with context from the last appointment
The insights respect the same privacy barrier — each therapist only sees insights about their own patients. Learn more in Tera Copilot for Therapists.
